Digital Timeline & Checklist
As soon as possible
Ideally this would happen when position is filled. To ensure a laptop arrives in time the absolute minimum timeframe is at least one week prior to start date. If Ground Control doesn’t receive a new hire ticket at least one week in advance, we cannot guarantee that hardware, accounts, or permissions will be provisioned on time.
- Hiring manager opens a New Hire ticket in Jira (our queue)
- In Jira for any contractors or Geezeo hires, add
(Contractor)or(Geezeo)to the Summary to make reporting easier. ex. Contractor - John Doe
One week to a week and a half before start date
- Build machine
- UPS requires ground shipping for batteries
- Laptop should arrive by the Friday before start date
- Update the Mac Inventory
- Put serial and tracking info in ticket
- Assign a machine to a prestage in Jamf
- Send laptop tracking info to user’s personal email
- CC groundcontrol@banno.com and hiring manager
- Send laptop onboarding document to user’s personal email
One week prior to start date
- Google or O365 account created (indicated in new hire ticket by manager)
- LDAP account created, if applicable
Wednesday before start date
- Send Welcome to Digital message to user’s personal email
- CC groundcontrol@banno.com and hiring manager
- Send Google creds to user’s personal email
- Send LDAP creds to user’s Digital email, if applicable
- Send Jira invite to user’s jackhenry email
Friday before start date
- Send Slack invite to user via jackhenry.com email
On start date
- Send GitHub invite to jackhenry email
- Close New Hire ticket when all items are completed
- If a transfer, set to Awaiting Info until previous device(s) is received by Ground Control
