Team Responsibility Sharing

To enable our team to be self-sufficient, we share the responsibility of who leads and manages meetings on a week-by-week basis. The following outlines the expectations of the chosen person.

Infrastructure Status Meeting

  • This meeting primarily goes over this document.
  • Copy the template from the bottom of the document, and fill in what you can prior to the meeting starting. Refer to previous weeks if you have any questions.
  • Go through each item in the list (making sure to follow links) with the team and discuss, editing or appending to the list as necessary.

Create and post the Infrastructure Weekly

  • This is a summary of the meeting that just took place, mostly reflecting the Anything we need to communicate to the other teams? heading.
  • This should be created as a “Post” in Slack.
    • Should be first shared and proof-read by the team in our #team-infrastructure channel
    • Should be then shared in our #org-infrastructure channel.
    • Can be quickly linked to other team channels using reacji emojis associated to various teams.

Team Retrospective

  • This meeting allows us to reflect on how the past two weeks have been going. The purpose is to allow us to be open and transparent with issues we’re currently facing. We don’t really do “sprints”, but this page gives an overview of this meeting.
  • The retrospective should be started as early as possible, as team members cannot add to the retrospective board until it is started.
  • To aid in the structure of the retrospective, we utilize Retrium.
    • Retrium offers quite a few different templates, of which you’re free to choose any you would like to use.
    • A good default (and one we typically use) is the 4Rs template.

Learning Topics

  • When deciding which learning topic to go over in the status meeting, a specific person will be chosen to lead the learning session.
  • When the learning topic is decided, the designated leader for this week’s status and retrospective meeting should send out calendar invites for the next occuring learning session.
  • After the learning session concludes, the leader of this meeting should upload the cloud recording from the zoom account to the Learning Topics Google Drive. Credentials can be provided by Eli Barb.
