You’ll be going on PTO, right? Here’s the full documentation for getting out of the office! Here’s a quick link for the PTO request.
You’ll be going on PTO, right? Well we’ve signed our team up for the Flamingo Leave Tracker, integrating with Slack! If you’re a new employee, please reach out to your supervisor to discuss PTO policies and procedures.
Here’s the quick rundown on using Flamingo within Slack and what to expect:
- Start by scolling to the bottom of your Slack dashboard and finding the Flamingo App.
- Anywhere within Slack, start with the command ‘/flamingo help’ to pull a list of commands.
- When you’re ready to take PTO, use ‘/flamingo request’ and complete the form.
- There is a full web version too to review your PTO. Add flamingo to your Gmail or Microsoft calendar.
- Each week, Flamingo sends a Friday morning reminder of the following week’s PTO.
Update out of office messages and statuses
With every type of Out of Office (OOO) event, you must update the following:
- Your email OOO message
- jSource OOO message
- MS Teams status
- Slack status - Flamingo does it for you!

I will be out of the office with no access to case messaging from [start date] to [end date].
Email auto-response standard template example Thank you for your email. I am currently out of the office from [start date] and will return on [end date]. For immediate assistance please reach out to [Supervisor/Manager name] otherwise I’ll respond as quickly as possible upon my return. If you are an institution needing assistance with a support case, please contact the corporate call center at 800-299-4222 requesting a case be opened or reassigned during my absence. Thanks!
1-4 Days of PTO
Taking one to four days away?
- Assess your backlog and set a personal goal to attack your cases. Who wants unnecessary cases in their queue anyway.
- While you won’t be out of the queue leading up to your PTO, you should be practicing ABC (Always Be Closing).
- Fear not, supervisors watch for Escalations and Need Call Backs while you’re on PTO. Your sub-team AM/PM will be responsible for responding to your regular case notes (AMers take care of the AM, PMers take care of the PM).
5+ Days of PTO
Gone for more than five business days?
- First, let your supervisor/leadership know. We’ll coordinate a way to get you out of the case queue to tackle and reduce your backlog of cases.
- Next, take a minute to evaluate your open cases to identify the stragglers that have been open for a while and probably won’t close before you take leave.
- As a good practice of proper case management, add a “travel note” to your cases? letting them know you’ll be OOO. This out of office notice should be added 1-2 business days before you depart. You never know, it could prompt the FI to add the needed info to finish your research or they might close it using the For Client’s Portal self-service feature!
- What’s left in your queue? Fear not, supervisors watch for Escalations and Need Call Backs while you’re on PTO. Your sub-team AM/PM will be responsible for responding to your regular case notes (AMers take care of the AM, PMers take care of the PM).
